Terms and conditions constitute the guidelines that ensure a good festival experience for everyone – together!

By registering as a volunteer, you accept these terms and conditions, so it is important that you read them thoroughly to be aware of what you have agreed to.

AGE AND WORK PERMIT – I UNDERSTAND THAT: 

– I must be 18 years old by June xx to be able to register as a volunteer.
– I must have a valid work and residence permit if I am not a citizen of the EU/EEA, Switzerland, or the Nordic countries.

TASK, SHIFT AND INFORMATION – I UNDERSTAND THAT:

– it is my own responsibility to stay updated by checking my email and Ruby for important information from the festival.
– I commit to familiarizing myself with the task description and requirements in Ruby before choosing the team I wish to be part of.
– I am responsible for keeping myself updated on shift times and meeting points via Ruby.
– I will attend all my shifts as agreed.
– I will check in with my team leader at both the start and end of my shift.

RESIGN AND CONTACT – I UNDERSTAND THAT:

– I must comply with the resignation deadline. After this date, my volunteer registration becomes binding.
– I must resign via my profile in Ruby if the resignation is made before the deadline.
– it is my own responsibility to resign correctly and be able to document that I have done so properly.

DEPOSIT, FEE AND BLACKLISTING – I UNDERSTAND THAT:

– upon registration, I pay a deposit of 300 DKK. The deposit will be refunded after the festival, provided that I attend my shifts and follow the festival’s terms and conditions.
– I will lose my deposit of 300 DKK if I cancel after the resignation deadline, regardless of the reason for the cancellation.
– I may be charged a fee of 2,000 DKK in addition to losing my deposit if I fail to show up for a shift, call in sick, or otherwise commit a serious violation of the applicable terms and conditions. For the same reasons, I may risk being blacklisted from volunteering at the festival for two years.
– I may be charged a fee of 1,000 DKK in addition to losing my deposit if I fail to attend or call in sick for one of multiple shifts. For the same reasons, I may risk being blacklisted from volunteering at the festival for two years.
– special cancellation rules apply if I have already collected my festival wristband.
– I risk being sent to debt collection if I do not pay the fee.

CRIMINAL RECORD – I UNDERSTAND THAT:

– FOREVER is authorized to request and process my criminal record if it is relevant to the task I am to perform.

PSYCHEDELIC DRUGS, ALCOHOL, AND VIOLENCE – I UNDERSTAND THAT:

– the use and trade of intoxicating substances is strictly prohibited, both during and outside of shifts at the festival. If I become aware of such activities, I must immediately inform my nearest supervisor or the security staff.
– I must not show up for my shift under the influence, and it is also not allowed to consume alcohol before or during the shift.
– it is forbidden to give away items from a stand or bar. Free distribution, handing out of food or drinks, or cheating with change will be considered theft and reported to the police.
– it is not permitted to take items from a stall, bar, or similar. This is considered theft and will be reported to the police.
– personal beverages, whether they contain alcohol or not, are not allowed. This also applies to water – instead, it can be collected at the water stations in the provided water bottle.

VIOLATING AND/OR INAPPROPRIATE BEHAVIOR – I UNDERSTAND THAT:

– offensive and discriminatory behavior and/or statements, including but not limited to racism, sexism, or queerphobia, are in no way acceptable at the festival. Harassment and psychological violence are also not tolerated. Such behavior can lead to expulsion, wristband removal, and exclusion from FOREVER.
– physical violence, threats, and similar behavior are not permitted at the festival. Such conduct can result in expulsion and exclusion from FOREVER.
– I can always approach my nearest supervisor or security personnel if I experience offensive or inappropriate behavior, or if I, as a volunteer, feel unsafe. It is also possible to contact Volunteer Management directly here.

INSURANCE – I UNDERSTAND THAT:

– I am covered by the festival’s workers’ compensation insurance. It is my responsibility to inform my nearest supervisor in the event of a workplace accident.
– my personal belongings and valuables are not covered by the festival’s insurance. I am personally responsible for any items such as a computer, phone, or other valuables that I bring to the festival.

PRESS AND ARTISTS – I UNDERSTANT THAT:

– it is not permitted to bring tape recorders, video cameras, DSLR cameras, or other professional photography equipment without prior permission.
– it is forbidden to take photos or record videos of the artists, ask for autographs, or otherwise contact them. I will, of course, respect the artists’ privacy.
– all communication with the press is handled by the management. Therefore, I must not make any statements to the press about the festival or on behalf of the festival. If I am contacted by the press, I should refer them to the press department, which can be reached here.

PHOTOGRAPHY, DRONES AND VIDEO SURVEILLANCE – I UNDERSTANT THAT:

– the festival has photographers on site who take photos of both guests and volunteers for publication on the festival’s website, social media, and at the venue itself. As a volunteer, I have the option to request the deletion of any photos in which I am identifiable, if I wish.

– drones will be used in certain designated areas of the venue at times. The drone operations are approved and comply with current regulations. The images will be used for overview shots, atmosphere photography, and to optimize logistics and marketing in connection with the festival.

In addition to the above terms and conditions, it is, of course, expected that you follow the general guidelines for good behavior and adhere to the instructions from the security staff – they are here to look after all of us and ensure that the festival will be a fantastic experience.
